You will be providing support to our clients and our legal teams as they navigate through difficult times. This remote, full-time role is your opportunity to shine as the embodiment of our mission to deliver exemplary legal representation coupled with genuine care.Your daily responsibilities will include:Onboarding New ClientsAdd matter information to ClickUp;Create client folders in Google Drive;Schedule & calendar strategy sessions;Review new client information forms and perform appropriate action items;Review strategy session notes and send clients introduction emails along with a recap of homework provided during the strategy sessions;Input all existing deadlines/court dates into the case calendar; andObtain JIS and WATCH reports for all new clients and opposing parties.Scheduling, Calendaring, and Task ManagementSchedule and calendar depositions;Schedule and calendar pre-deposition meetings with attorneys and clients;Check court systems weekly for pending hearings and make sure they're on the case calendar;Review the upcoming week's calendar for court events/deadlines and add all tasks for said events;Arrange for interpreters/court reporters when necessary;Schedule and calendar collaborative law meetings (PTO, 5-Way, 4-Way, etc.);Schedule and calendar all meetings between staff and clients and/or related parties to the case; andTakes notes during legal team meetings of all tasks that need to be completed and posts them in the Google Task channel so they can be added to ClickUp.Client CommunicationsSend out requests for all documents/forms to clients;Follow up with clients regarding needed documents/forms;Send clients meeting links for virtual hearings, meetings, mediations, etc.;Send clients instructions on meeting attorneys at court;Work with clients on attending parenting seminars and obtaining certificates of completion; andThe legal assistant is the first line of communication regarding client matters and will only delegate to paralegals or attorneys when necessary.Document ManagementMaintain the Doc Check section for each matter in ClickUp;Download and save all pleadings to client files;Save all client documents, forms and pleadings to client files;Prepare Manpower forms;Organize PDFs as needed;Stamp/redact documents as necessary;Send documents to parties for e-signatures;Draft notices of appearance, notices of unavailability, notices of intent to withdraw, and declarations of service; andFile court documents and obtain working copies as necessary.Other ProductionKeep all party contact information updated in ClickUp;Prepare trial binders; andArrange for legal messenger pickups, processes of service, etc. and communicate with them on any issues.Who You Are:The ideal candidate will embody our core values and bring:Professional appearance, manners, and attitude.Very detail oriented1+ years law firm experience (preferred). However, we are less concerned with how many years of experience you have than we are with how many experiences you have gained and mastered during those years.
