Troia & Associates provides counseling and litigation services to condominiums, cooperatives, commercial and residential property owners and real estate investment companies with substantial holdings throughout New York City, Nassau, Suffolk and Westchester counties. Our firm is located in lower Manhattan and we are actively seeking an entry-level Legal Assistant/Paralegal to support all aspects of our fast-paced and rapidly growing business.
This is an in-person position (100% non-remote)
Primary Responsibilities
Prepare and/or modify legal documents, correspondence, cover sheets and reports for attorney review and ensure timely distribution of such documents
Work with attorneys in the preparation, filing and serving of all court documents. Create copies, bind and distribute court documents. Organize exhibits and appendices
Calendar court appearances
Administrative support duties include, but are not limited to, answering telephones, scheduling meetings, updating and coordinating attorneys calendars for court appearances, meeting and deadlines, scheduling messengers and gathering documentation for attorney meetings and court appearances
Attending to all correspondence, documents, emails, pleadings, discovery and other related materials received in connection with legal matters
Proofread and review documents for grammar and punctuation, exhibits and enclosures
Case management. Monitor cases. Timely performs assignments, data entry into computer program system, preparation of status reports, maintenance of digital and physical files, close out files and maintain computer program system
Effectively communicate with courts, clients, attorneys, respondents and vendors.
Utilizes computer devices for entering correct data
Input attorney time sheets
Perform other duties as may be assigned by attorneys and administrative personnel
Ideal Candidate Qualifications
2+ years related real estate legal experience or 3+ of unrelated legal experience while working within a law firm
Knowledge and experience in Supreme and/or Civil Court litigation
Experience with state court filing system, document retrieval rules and procedures
Strong writing skills
Ability to work in independently and in team settings
Ability to multitask
Time management
General knowledge of law firm procedures/practices
Supreme Court and Civil Court experience
Acute attention to detail with excellent proofreading skills
Possess excellent communication and organizational skills
Inquisitive with passion for learning
Proficiency with computers, Microsoft Office Suite (Word, Excel, Outlook) and e-filing
Familiarity with law, legal procedures and protocols
