Our client, a leading asset management firm based in Midtown, NYC, is seeking an experienced Executive Assistant to join their team. The ideal candidate will have a minimum of five years of relevant experience, ideally within an asset management firm or investment bank. This role requires a strong track record of managing complex international travel itineraries across various time zones, coordinating multiple executive calendars, and scheduling meetings. Proficiency with expense management platforms such as Expensify, Concur, or Workday is essential. This candidate will be highly organized, and capable of supporting multiple senior team members in a fast-paced and dynamic environment.
Responsibilities include:
Manage complex calendars across multiple time zones, coordinate detailed domestic and international travel arrangements, and oversee itinerary planning.
Organize meetings and events, prepare presentation materials, and ensure all logistics are executed smoothly and efficiently.
Handle day-to-day office operations including supply management, liaison with building management, and general administrative tasks such as expense reporting, data entry, and IT troubleshooting.
Requirements:
5 years of previous experience as an Executive Assistant supporting senior leadership within an asset management firm or investment bank.
Proficient in Microsoft Office Suite (Outlook, Word, Excel).
Highly organized, detail-oriented, and capable of managing multiple calendars independently while meeting tight deadlines.
Excellent interpersonal and communication skills, with a proactive, flexible and outgoing attitude.
