Kean Miller has an opening for a receptionist to work in our Woodlands office.
Key Responsibilities
- Answer all incoming telephone calls, transfer to appropriate extensions, or take messages
- Greet visitors, collect client information, and ensure they are welcomed in a professional manner in conformity to the Firm standards (offered water, coffee, tea, etc.)
- Maintain a neat, well-stocked, and organized atmosphere at the reception desk and surrounding guest area
- Process incoming and outgoing mail, including courier services. Coordinate with support staff on handling procedures
- Reserve and coordinate the scheduling of conference rooms through our Meeting Planning Software
- Preparing conference rooms for meetings; including making coffee, stocking beverages, ordering meals if necessary, etc.
- Create and update documentation for the reception desk and conferencing procedures as needed
- Run occasional business-related errands
- Placing orders with supply vendors to maintain a well-stocked Break Room and Copy Center
- Assist with document preparation, copying, scanning, and filing
- Handle service requests in a prompt and professional manner
- Provide clerical support to attorneys as needed
Requirements
- High school diploma with some college preferred
- Prior experience in a similar role
- Hours required are 8:00 a.m. – 5:00 p.m.
- Professional and polished business demeanor and appearance
- Positive, energetic, with extraordinary service skills
- Excellent organizational skills with the ability to multitask effectively.
- Ability to maintain confidentiality and professionalism at all times.
- Ability to problem solve and follow up independently.
- Must be willing to learn AV equipment
- Must possess a clean driving record
- Team player willing to assist with anything
