Overview:
We are seeking a
Legal Assistant to provide high-level administrative and legal support to our CEO and CFO, with a primary focus on investor relations and executive assistance. The role includes managing investor communications, preparing reports, coordinating meetings, and handling confidential information with discretion. This position will evolve to include support for our in-house counsel as we bring legal operations in-house. The ideal candidate is proactive, detail-oriented, and skilled in managing executive-level tasks while ensuring accuracy and confidentiality.

Key Responsibilities:
Executive Administrative Support:
- Proactively manage the daily calendars of the CEO and CFO, including scheduling appointments, resolving conflicts, and prioritizing tasks
- Organize meetings, send reminders, and prepare materials, ensuring executives are briefed on changing priorities and commitments
- Coordinate all aspects of meetings, events, and travel, including producing itineraries, booking accommodations, and processing expense reimbursements
- Serve as the primary point of contact for internal and external communications on behalf of the CEO and CFO, including answering calls, drafting emails, and handling inquiries
- Act as a gatekeeper, organizing and prioritizing large volumes of information (emails, calls, etc.), and liaising with internal and external stakeholders as appropriate
- Maintain and handle highly confidential information, ensuring discretion at all times
- Prepare reports, memos, and communications, working closely with key stakeholders across departments as needed
Investor Relations Support:
- Update and manage databases of current and potential investors, ensuring accurate contact information and records of interactions
- Assist in distribution of investor documentation (subscription documents, capital call notices, quarterly and financial reports, etc)
- Handle sensitive financial information securely, particularly when distributing investor updates or reports
- Help prepare agendas for investor relations team meetings, take detailed notes, and distribute meeting minutes and action items to participants
- Maintain investor databases and CRM tools, performing regular data checks and updates. Conduct outreach to prospective investors using the contact database to schedule prospect meetings
Future Legal Support:
- As we onboard in-house legal counsel, provide legal administrative support, including document preparation, case file management, and legal research as needed
- Prepare and review legal documents related to real estate transactions
- Maintain accurate and organized records of all real estate transactions and entity documents
- Handle entity formation and maintenance along with related filings
- Review and assemble officer’s certificates, resolutions, organizational documents and other closing deliverables
- Create and assemble closing books
Qualifications:
- Education: Associate’s degree or certification in paralegal studies or related field required; Bachelor’s degree preferred
- Experience: 5+ years in an executive assistant or legal support role, preferably within a corporate or investment environment
- Ability to interact and work productively with all level of lawyers and paraprofessionals, both internally and externally.
- Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational skills, attention to detail, and proactive problem-solving abilities
- Excellent written and verbal communication skills
- Ability to manage and prioritize tasks independently, meeting deadlines and handling sensitive information
- Experience with CRM tools and investor database management preferred
Preferred Qualifications
- Familiarity with financial or investor CRM tools and database management systems
- Knowledge of corporate or real estate investment terminology
