Jaburg Wilk is seeking a hybrid or fully remote legal intake specialist to play a crucial role in being the initial point of contact for potential clients seeking legal assistance. The ideal person must be able to manage a high volume of calls and must be comfortable communicating via phone and email. We are looking for someone who has strong organizational skills; who has experience in establishing a tracking system; and who has legal, sales and/or marketing experience.
The person in this role must provide exceptional customer service and abide by the JW Way. This person would also handle other duties as assigned.
Job Summary: The primary responsibility of this role is to manage incoming inquiries from potential clients, which includes gathering essential information about their legal issues, and determining the appropriate course of action. This person will serve as the initial point of contact, ensuring a positive client experience while adhering to legal and ethical standards. This person must have a professional demeanor and be able to communicate clearly and effectively on the phone and via email.
Responsibilities:
- Respond promptly and professionally to inbound inquiries via phone and email.
- Conduct initial interviews to gather information about the nature of the legal issue, the parties involved, and any relevant background details.
- Screens potential client's case to determine its viability and whether it falls within the firm's practice areas.
- Record accurate and detailed information obtained during intake interviews in the firm's database or case management system.
- Schedule appointments for potential clients with attorneys or other legal professionals as necessary.
- Provide information about the firm's services, fees, and processes to potential clients.
- Maintain confidentiality and adhere to all legal and ethical guidelines governing client intake procedures.
- Collaborate with attorneys, paralegals, and other staff members to ensure a seamless transition of cases from intake to representation.
- Follow up with potential clients to answer any additional questions, collect missing information, or provide updates on their case status.
- Prepare engagement letters.
- Communicate professionally and have a clear understanding of process and procedures.
- May accept and process consultation payments via credit card.
Qualifications:
- Previous experience in a legal intake or client intake role preferred.
- Strong communication skills, both verbal and written.
- Excellent interpersonal skills and the ability to build rapport with individuals from diverse backgrounds.
- Attention to detail and the ability to accurately document information obtained during intake interviews.
- Familiarity with legal terminology, procedures, and ethical standards.
- Proficiency in using computer software and databases for data entry and case management.
- Ability to work independently with minimal supervision and prioritize tasks in a fast-paced environment.
