We are on the lookout for an accomplished and proactive Law Firm Administrator to join our leadership team in a fully remote capacity, ideally situated in California. This pivotal role will be essential to the firm's advancement, supervising daily operations to ensure optimal efficiency across non-legal divisions. Acting as a crucial strategic ally to the CEO and senior leadership, the Law Firm Administrator will play a vital role in formulating and executing initiatives that underpin the firm's long-term ambitions.
Key Responsibilities
- Cultivate a positive, values-driven atmosphere across the firm.
- Lead and manage a dedicated team of non-attorney staff, focusing on recruitment, onboarding, training, performance management, and career growth.
- Provide mentorship and guidance to ensure alignment with the organization's objectives.
- Represent the firm, advocating its values and culture both internally and externally.
- Collaborate with the CEO and leadership team to define and realize strategic initiatives enhancing operational effectiveness and business growth.
- Serve as a strategic consultant in long-term planning and pivotal decision-making processes.
- Steer organizational change initiatives to ensure seamless transitions for new processes, technologies, and systems.
- Act as a conduit between departments to enhance workflows and communication within the firm.
- Partner with the CFO to manage budgeting, financial forecasting, and performance analysis, ensuring alignment with fiscal goals.
- Enhance firm-wide operations by creating scalable systems and procedures that promote efficiency and cost savings.
- Supervise risk management and compliance protocols to guarantee adherence to legal and regulatory standards.
- Lead the firm's technology strategy, implementing innovative solutions to bolster operations.
- Manage workflows, case management, insurance policies, document management, and virtual facilities administration.
- Collaborate with managing attorneys to ensure effective communication and case management.
- Develop and monitor Key Performance Indicators (KPIs) to gauge progress and fulfill operational objectives.
- Maintain relationships with vendors, supporting technology, office, and marketing requirements.
- Oversee the potential new client process to ensure a positive experience and workflow efficiency.
- Ensure effective scheduling and task completion through firm calendar management.
- Provide necessary training to attorney staff and standardize operational procedures.

Qualifications
- High school diploma required; a bachelor's degree is preferred.
- Certified Legal Manager (CLM) is highly regarded.
- Minimum of 7 years' experience in law firm administration or law office operations management.
- At least 3 years of supervisory experience managing a legal team of 10 or more employees.
- Minimum of 3 years of experience in Human Resources, encompassing recruitment and hiring.
- Proven experience managing budgets of $5 million or greater.
- Background in small to mid-sized organizations, with an emphasis on operational efficiency.
- Experience in remote-first work environments is advantageous.
