DEPARTMENT FUNCTION:
The New York City Bar Legal Referral Service (LRS) is the oldest lawyer referral service in New York State, and the first one in New York City approved by the American Bar Association. We have made it our mission to help individuals and businesses find the right lawyer to meet their legal needs by connecting them with screened and approved attorneys for more than 75 years. Our organization operates as a 501(c)(6), dedicated to maintaining high standards within the legal profession.
JOB FUNCTION/SUMMARY:
We are seeking a highly motivated and organized individual to join our team as a full-time (35 hours/week) LRS Member Relations & Operations Assistant. You will play a crucial role in managing LRS memberships and applications to join the LRS, helping ensure our participating lawyers comply with reporting and renewal requirements, and providing exceptional customer service to them. This role is an exciting opportunity for an individual with a keen eye for detail and excellent organizational and communication skills.
KEY RESPONSIBILITIES INCLUDE (but are not limited to):
- Manage applications for LRS Panel Membership, schedule applicant interviews, and onboard new LRS members
- Manage membership records and attorney compliance with annual renewal requirements
- Respond to inquiries promptly via email and phone
- Handle live calls from LRS members, addressing their needs and inquiries
- Effectively utilize Office 365 products, including Outlook, Word, Excel, and SharePoint
- Quickly learn and proficiently use our referral database/software
- Provide outstanding customer service to both internal and external stakeholders
- Run periodic reports from our referral database/software to assess member compliance – confirming their insurance is in effect, for example -- and for marketing and other purposes
- Draft and edit correspondence to members with accuracy and professionalism
- Perform various administrative tasks as needed to support the department's operations and management team
- Organize occasional events for staff and/or members
- Process and reconcile payments in the City Bar's accounts receivable software and database
- Promptly process and track internal and external reimbursements
QUALIFICATIONS, SKILL & REQUIREMENTS:
- Associate level degree or higher, or equivalent experience
- Minimum 1+ years related experience
- Previous experience in a legal, membership management, or customer service role is preferred
- Strong database and PC skills, especially in Microsoft Office 365 products (will be required to take skills-based technology assessments as a condition of and prior to being hired)
- Experience with SharePoint is a plus
- Quick learner with the ability to adapt to new software systems
- Excellent customer service
- Excellent verbal and written communication skills
- Highly organized and detail oriented
- Ability to handle multiple tasks and prioritize effectively
- Strong problem-solving skills and a proactive approach to challenges
- Can successfully work collaboratively as part of a team as well as independently
- Moderate math skills and basic understanding of bookkeeping principles, such as simple payment processing and reconciliation
- Must be able to attend a few in-person evening events per year, held at the beautiful, historic Association building in Midtown Manhattan

Starting salary for this role is $47,000 to $49,000 (based on experience) for a 35-hour work week.
