Prominent Family Office in Midtown Manhattan seeks a paralegal who can also handle administrative responsibilities.
Position Summary
Perform a wide range of paralegal, administrative, and office support duties to facilitate the efficient operation of the Family Office. Report to General Counsel.
Essential Job Functions
Paralegal
- Complete and distribute investment documents.
- Manage KYC/AML requests.
- Assist with documentation and operations related to the office’s private trust company
- Manage and maintain document storage processes.
- Perform legal and factual research.
- Cross-check and validate information and prepare written reports.
- Draft legal documents including articles of incorporation, partnerships and other entities.
- Draft legal documents to establish business and family trusts.
- Draft legal documents to dissolve corporations, partnerships, trusts and other entities.
- Maintain corporate governance files for all family office entities.
- Maintain family corporate consents and assist with filing proper documents.
- Prepare operating agreements and written consents for new corporations and LLC’s.
- Obtain proper signatures on legal documents.
- Work closely with counsel on various legal documents related to the Family.
Administrative
- Scan and save documents daily to network including but not limited to, bank statements, invoices, receipts and investment related documentation.
- Open mail and distribute (if scanning unnecessary) following established protocols and standards.
- Distribute confidential mail according to established protocols and standards (i.e.: Human Resources mail).
- Schedule meetings both in-person and online and send meeting reminders as needed.
- Prepare meeting packages and set-up meeting rooms as necessary.
- Greet visitors and provide support, as necessary.
- Assist team members with business travel reservations.
- General clerical duties including photocopying, fax, scanning, shredding, etc.
- Assist in obtaining approvals and signatures.
- Run errands as required (i.e., bank, post office, and properties, etc.)
- Prepare outgoing mail, USPS, UPS, FedEx and messenger, etc.
- Print documents and find files for the team.
- Serve as backup for daily wire process and fax wires.
- Manage office supplies inventory.
- Assist with the coordination/ordering and delivery of lunch, meals for team members and meetings.
- Update shared calendars with Federal holidays, bank holidays, and company holidays.
- Update shared Contacts.
- Research and implement new organizational systems/processes.
- Cross train with other employees for full coverage.
- Provide back-up and support for other administrative assistants in the office.
Qualified candidates should have experience as a paralegal in a financial or family office setting and a willingness to take on general administrative responsibilities.
Salary 90 to 120k DOE
