A Global law firm with offices in Manhattan is seeking an Executive Legal Assistant to support a Group Head and their team of attorneys and legal professionals. Duties will include managing calendars, scheduling appointments, handling legal correspondence, preparing documents, and assisting with the preparation of legal filings. This role requires excellent organizational skills, attention to detail, and the ability to handle sensitive legal information with confidentiality and professionalism.
Hours: 9:30 am - 5:30 pm
Base salary: $85-105k + paid OT
Key Responsibilities:
- Manage attorneys’ calendars, schedule meetings, and coordinate appointments.
- Handle incoming phone calls, emails, and other communications.
- Prepare and maintain legal documents, including pleadings, motions, contracts, and discovery documents.
- Draft correspondence on behalf of attorneys as needed, ensuring accuracy and timeliness.
- Organize and maintain legal files, both paper and electronic, in accordance with firm policies and legal standards.
- Maintain accurate records of case progress, deadlines, and timelines.
- Help prepare client billing documentation, timesheets, and expense reports.
- Assist in drafting and formatting contracts, agreements, and legal reports.
Required Skills and Qualifications:
- High school diploma required; Associate’s or Bachelor’s degree preferred.
- Proven experience as an executive assistant, legal assistant, or in a similar role in a law firm or legal department.
- Knowledge of legal terminology, processes, and documentation.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills.
- Excellent organizational and multitasking abilities, with a keen attention to detail.
- Ability to handle confidential and sensitive legal matters with discretion.
- Strong sense of professionalism and ethical standards.
