We’re seeking an organized and proactive individual who is fluent in both English and Spanish to join our team.
Experience in law firm trust accounting is essential, and familiarity with Clio Manage is highly desirable. Experience with QuickBooks is a plus.
This role will be integral in managing our firm's financial operations, including billing, trust account management, and financial reporting.

Compensation:

Responsibilities:
Billing and Invoicing:
- Track and record time spent on client and administrative activities using Clio Manage.
- Prepare, review, and send out monthly invoices for all hourly matters, ensuring accurate billing through Clio.
- Manage clients with multiple matters and handle trust account requests related to hearings and trials.
Client Payments:
- Collect initial retainer payments, set up payment plans, and accept payments over the phone or in person.
- Ensure accuracy in all payment processes, including disbursing trust funds back to clients or applying them to outstanding invoices, maintaining compliance with Clio trust accounting features.
Financial Record-Keeping:
- Enter expenses paid by the firm on behalf of clients accurately and promptly.
- Maintain accurate financial records, ensuring compliance with legal billing practices and trust accounting principles, specifically through Clio.
Accounts Receivables:
- Tackle accounts receivables by following up on client non-payment of outstanding invoices according to the firm's procedures.
Reporting and Metrics:
- Track and report on key financial metrics using Clio Manage, to monitor and maintain the firm’s financial health.
System Maintenance:
- Maintain and improve financial systems within Clio, creating routines and habits that streamline processes and drive results.
Qualifications:
- Proven experience as a billing clerk or in a similar role, preferably in a law firm setting with specific experience in trust accounting.
- Familiarity with legal billing software, particularly Clio Manage for billing and trust account management, and accounting software like QuickBooks.
- Strong understanding of trust accounting principles and U.S. accounting systems, ensuring compliance with legal and ethical standards.
- Excellent organizational and time management skills to handle multiple tasks effectively and meet deadlines.
- Meticulous attention to detail and accuracy in managing financial records, especially regarding trust funds and client billing.
- Ability to communicate professionally and bilingually (English/Spanish) with clients regarding billing matters, including explaining invoices, payment plans, and trust fund disbursements.
- College degree or equivalent; additional certification in accounting or finance is a plus.
- A strong commitment to learning, growth, and excellence in your role, with a proactive approach to improving processes.
